## What Are Linked Apps?

In Passcreator Workflows, a **linked app** refers to any third-party service or system that you connect to within a workflow - such as a CRM, email platform, form builder, or spreadsheet tool. Passcreator itself can also be used as a linked app so you can create workflows within your Passcreator account (e.g. send a push notification to a pass three hours after it was downloaded for the first time).

When you create a workflow that interacts with another system, you authorize Passcreator to connect to that external service. This is done securely and typically only once per integration. Once connected, that app becomes “linked” to your Passcreator account.

### Examples of Linked Apps

- A Google Sheet where new rows are added when passes are created.
- A CRM like HubSpot that receives customer data when a pass is scanned.
- A messaging tool like Slack that sends alerts when passes are removed from a wallet.

## How Linked Apps Work

- When you choose an **action** in a workflow that requires an external system, you’ll be prompted to connect (authenticate) to that app.
- Once connected, the app becomes available across your account for reuse in other workflows - no need to reconnect it each time.
- The connection is secure and only accessible by users with permission to manage workflows.

You can manage all linked apps in your **Workflow Settings** section - including renaming, reconnecting, or removing integrations.

## Who Can Link Apps?

- **Account Admins and normal users** can create and manage all linked apps.
- **All other users** don’t have access to Workflows and linked apps

## Workflow Ownership

- Every workflow is tied to the **Passcreator account**, not to an individual user.
- This ensures transparency about what workflows exist and potentially update data.
- All linked app credentials are stored securely and are managed at the account level.

## Access Control and Permissions

- Workflow creation and management rights are governed by **user roles** in your Passcreator account.
- Only Admins and Normal Users can access the Workflow Engine.

This ensures accountability while supporting collaboration across teams.
